New Address Book Features and Email List Changes
The Office of Information Technology is pleased to announce some additional features with the global address book, along with streamlined distribution lists. There are a large number of students in the email system and that can make it difficult to locate faculty and staff at times. With the new email system, address books can now be searched for faculty and staff, making them easier to locate. In order to provide these new features and help streamline communications, email distribution lists have been modified. The complete details are below.
Searching Email Address Books on Campus
If you are using Outlook 2007 from on Campus, locate the Address Book Icon
located near the top center of Outlook, and click on it. You may also open the Global Address book with the keys CTRL+Shift+B.
Once the address book is open, click on the down arrow next to arrow next to Global Address List. You will see two new options for MCC Staff and MCC Faculty. PLEASE NOTE: The MCC Faculty address book contains all full time and adjunct faculty.

Searching Email Address Books off Campus
If you are using the Outlook Web App to access your email, start by locating the
icon, this time near the upper right part of the screen.

Once the address book appears, you will see options for choosing what contacts that you want to see. Click on “Show other address lists” to see the additional address books.

Clicking on “Show other address lists will provide access to the MCC Faculty and MCC Staff address books.
Email distribution lists have undergone some changes for several reasons. Along with the opportunity to provide new features, there was an opportunity to make sure messages were reaching the right recipients. In the past, with too many lists to choose from, there has been some difficulty with selecting the right group to get emails sent to the right people. There was also a risk of people changing from one group to another without their group membership changing. This would increase the chance of missing an email you were meant to receive.
To help with this challenge, the system provided email distribution lists have been streamlined and combined into four groups.

Access to Email Distribution Lists
Access to Email Distribution lists has been set in accordance with the MCC Board of Trustees Policy Manual and Email Usage Policy. Access to send to these lists is provided with approval from your manager or department chair.
Retired Lists
System lists that are no longer maintained include #adjunct, #all, #allstudents, #clerical, #currentstudents, and #maintenance. These lists have been combined into the above four lists. Smaller lists can be maintained through user shared address books, which OIT will provide assistance with as requested.
